Talent Quarter’s strategic move to VXT: Enhancing team efficiency https://www.bullhorn.com/au/customer-blog/talent-quarters-strategic-move-to-vxt-enhancing-team-efficiency/ Thu, 27 Jun 2024 03:45:55 +0000 https://www.bullhorn.com/au/?post_type=customer_blog&p=77725 Talent Quarter, a leading recruitment agency in Australia with a dedicated team of 75 staff members, has always prioritised efficiency and innovation in its operations. The agency covers a wide range of placements, from doctors to social care workers, aiming to accommodate both local and permanent positions within the healthcare sector. Faced with significant challenges in their previous phone systems, the need for a more effective solution became clear. The agency was on a mission to find a system that could streamline its recruitment processes and enhance the team’s productivity.

Evaluating New Solutions: A Comprehensive Approach

“We tested ten different systems,” recalls Katarina Barbasova, Leader of Efficiency and Transformation at Talent Quarter. “Our goal was to find a tool that not only fit our operational needs but was also user-friendly and intuitive for our team.”

After rigorous testing, Talent Quarter decided on VXT. The distinguishing factors were VXT’s team-centric approach, ease of use, seamless integration with Bullhorn and the simplicity with which the Talent Quarter team could learn and adapt to it.

A Smooth Transition: Overcoming Initial Reservations

Barbasova shares that the business had initial reservations about moving to another new VoIP provider. In the last 12 months, Talent Quarter had already been customers of two providers, both solutions requiring extensive training for team members to be able to use the solution.

“Transitioning to a new system is always a concern for any business,” says Barbasova. “Given our past experiences, there were reservations, but within the first week of using VXT, the feedback from our recruiters was overwhelmingly positive. They found it incredibly easy to use and quick to learn, making the transition smooth and welcome.”

A Principal Consultant at Talent Quarter, shares his experience: “Six months ago, Talent Quarter introduced VXT, and my experience has been absolutely fantastic. The reliability and functionality of VXT have been outstanding; we’ve had zero downtime and excellent call quality. Additionally, the support from VXT has been exceptional, ensuring any issues are swiftly addressed.”

A seamless integration with Bullhorn

“One of the best features of VXT is how it integrates with our ATS system. This integration syncs client and candidate notes directly, saving us a lot of time. It also syncs all of our contacts, so we always know who’s calling, which is super useful.” Says another representative from Talent Quarter.

The integration of VXT into Talent Quarter’s workflow resulted in significant improvements in how the agency managed its recruitment processes. The team found themselves more organised, with better-utilised systems that enhanced overall productivity and efficiency.

Embracing Innovation for Future Success

Talent Quarter’s strategic move to VXT has exemplified the impact of finding the right tools that align with a team’s needs and operational goals. Their story serves as a testament to the benefits of embracing innovative and industry specific solutions. The adoption of VXT not only addressed previous challenges but also set a new standard for efficiency and effectiveness within Talent Quarter.

Key Results

• Reduced time spent on managing and training for complex systems
• Improved communication and collaboration across the business
• Enhanced efficiency, providing more time to add value to clients
• Achieved a seamless integration with Bullhorn, saving time and improving data management

Getting the most out of SourceBreaker https://www.bullhorn.com/au/customer-blog/getting-the-most-out-of-sourcebreaker/ Sun, 02 Jun 2024 23:24:51 +0000 https://www.bullhorn.com/au/?post_type=customer_blog&p=77696 In recruitment, speed is everything. Competition for top candidates and the most promising leads is fierce. You and your team need every tool at your disposal to ensure you’re finding the best opportunities as soon as they arise – and that includes SourceBreaker.

Powered by automation and AI, SourceBreaker helps your team build a pipeline of ready-to-work candidates and new business development opportunities. To help customers learn how to make the most of SourceBreaker, Senior Customer Success Manager Monica Sidhu shares a few best practices and top tips. Read on below to learn how to find top candidates quickly, set up business development, leverage automations so you never miss a job, and utilise company intel to put you one step ahead of the competition.

Never miss a new job lead

“We want to make sure that you’ve got your business development side covered and you’re also automating all of your business development and lead searches,” Sidhu states. With SourceBreaker, that’s as easy as clicking a button.

Within SourceBreaker, you can find live matching job leads with a single click. With the “search leads” button, SourceBreaker can search for open jobs with the criteria you outline. “Straight away, there’s a ton of jobs that appears which you’ll be able to reach out to as new job leads,” explains Sidhu.

When you run a search for leads in SourceBreaker, you’ll notice two tabs at the top of your search: “SourceBreaker leads” and “aggregator leads.” SourceBreaker leads are directly from company career pages, while aggregator leads are pulled from external, third-party career sites. “This is a really good way of running those job lead searches because it’s covering all of those areas for you,” said Sidhu. “It’s saving you time, so you don’t have to go to each of these individual company websites or scroll through those job site pages just to see if there are jobs posted on there.”

A couple of other searches that Sidhu recommends setting up are queries based on your target companies as well as your current and previously worked with clients.

First, to build a search around a target company, simply add in the names of those targets into your search, and SourceBreaker will populate all of those companies’ open jobs within your search. You can also refine that search by location to only search for job leads within a certain geographical area. You can also narrow your search by adding in job descriptions, skills, or keywords, so your search provides you with the most relevant jobs to what you’re looking for. Sidhu also recommends building a search targeting your current – or even past – clients. “Those are going to be really easy wins for you because you’re not having to go in with a cold conversation. You are just going to get notified. You’ve already got the relationship there.”

If you’re focusing on finding leads for a specific role, try utilising a split job title search. For example, if you’re looking for DevOps engineers, start building your search with just the “DevOps” keyword. Then, add in your other keywords like “engineer,” “developer,” or “architect.” You’ll then merge this second term group, so the search reads “engineer or developer or architect.” This tells your search mechanism that as long as the word DevOps and one of these terms appear somewhere in that job title, to find those jobs and include them in your search. This is a great way to ensure you’re the first to the most promising job leads out there.

You can also automate your new lead searches with SourceBot, which runs your search across your job boards and Bullhorn database 24/7. SourceBreaker will notify you whenever new candidates match your search, both through a daily email and right within the SourceBreaker platform.

Leverage intel to stay one step ahead

Want to know what companies might be hiring in the near future? Head to the Intel section within SourceBreaker. In the funding round section, you can see companies that have recently received funding. But that’s not all; you can also see where they’re based, what industry they’re in, the funding type they received, how much money they received, and when the funding round was announced. Similarly to SourceBots, you can set alerts to receive notifications about the latest funding rounds.

If you’re not familiar with funding rounds, SourceBreaker has you covered. You can always click on a funding round to learn more about what that might mean for a company. “As a recruiter, I would definitely be thinking if a company has received funding, they are definitely going to grow,” Sidhu said.

Companies in this list may also have a number displayed next to them; that indicates the number of jobs they’re currently hiring for. You can click on that number and see a full list of every job opening they have.

SourceBreaker also provides you with a list of key people within each company, as well as their email and a direct link to their LinkedIn profile. With the email finder function, you can search for anyone within the company and find their contact information. Similarly, SourceBreaker also provides you with a newsfeed section containing any recent articles about the company, so when you do reach out, you can show that you’ve done your research.

Leveraging this intel is especially helpful if you’re trying to break into a new market. “This is like a ready-made target company list for you, without you even having to do that research,” Sidhu said.

This intel, combined with automated, tailored searches, will have you uncovering the very best candidates, job leads, and business development opportunities, ensuring your agency is always one step ahead.

What to consider when choosing an LLM https://www.bullhorn.com/au/customer-blog/what-to-consider-when-choosing-an-llm/ Thu, 18 Apr 2024 23:45:40 +0000 https://www.bullhorn.com/au/?post_type=customer_blog&p=77591 Copilot is here, and our customers are already hitting the ground running with recruitment AI. As agencies embark upon their generative AI journeys and incorporate Copilot into their workflows, one of their most frequently asked questions is, “Which LLM (Large Language Model) should I choose to integrate with Copilot?”

There’s no one right answer; which LLM is best for you and your team depends on your business goals and what you want to achieve with Copilot. Regardless of your decision, you’ll still be able to leverage generative AI to craft stronger messages, send more pitches, and generate profile summaries, screening questions, and more — all without leaving Bullhorn.

Let’s break down what an LLM is, which LLMs integrate with Copilot, what the Bullhorn experts have to say about LLMs, and how you can decide which one is right for your recruitment business.

What is an LLM?

An LLM is a deep learning model that has been pre-trained on vast amounts of data and is used to power generative AI.

LLMs use tokens to understand and respond to prompts. They can be thought of as pieces of words, though they also include spaces and punctuation marks; each one is roughly four characters of typical English text. When you ask AI a question, it looks at each token – that is, each word, space, and piece of punctuation – to understand and respond to your question. You can learn more about tokens – and how to count them – here. Different LLMs also have different token limits, which limit the length of the prompt you input and the response the LLM generates; a shorter token limit means that you’ll need to input shorter prompts.

Why do I need to choose an LLM to integrate with Copilot?

“Copilot is the vehicle through which users access what the LLM can do,” said Nicole Krensky, Director of Product Marketing, Automation & AI at Bullhorn. Once you choose your LLM, you will connect that service with Copilot using an API. Copilot then pushes the information in your database, like candidate resumes, skills, education, and work history, along with the prompt you build or select, to the LLM to generate your desired output.

“Think of it as powering the engine in the background,” added Ben Carter, Senior Director, Automation & AI at Bullhorn.

Which LLMs integrate with Copilot?

Bullhorn currently supports Azure OpenAI and OpenAI LLMs. Customers have seen success with the following models:

  • OpenAI GPT-3.5-Turbo
  • OpenAI GPT-4
  • Azure OpenAI GPT-3.5-Turbo
  • Azure OpenAI GPT-4

OpenAI is a leading AI research lab known for developing advanced AI technologies, aimed at broad applications in various industries. Azure OpenAI is a collaboration between Microsoft and OpenAI that integrates OpenAI’s models with Azure’s cloud computing platform, offering scalable AI solutions to businesses. While OpenAI is a series of models, Azure OpenAI is a Microsoft-specific learning model.

Each LLM has its own instructions for getting started, so we recommend reviewing the OpenAI Quickstart Guide, the Creating and deploying an Azure OpenAI Service Resource, and other help content from those providers. As part of the enablement process, you’ll need to provide details from your LLM such as the model, API key, and token limit.

What are the differences between these LLMs?

In addition to the differences between OpenAI and Azure OpenAI, GPT-3.5-Turbo and GPT-4 vary in a few ways.

Both GPT-3.5-Turbo and GPT-4 models are optimised for chat and work well for traditional completion tasks. Both models can understand and generate natural language, but GPT-4 can solve more difficult problems with greater accuracy. On the other handGPT-3.5-Turbo models are significantly faster than GPT-4 models and are offered at a lower price point. However, the increased price of GPT-4 models unlocks a connection to the internet that allows you to use responses from online sources. While token limits of GPT-3.5-Turbo models are lower than GPT-4 models, if you’d like to input longer prompts, both OpenAI and Azure OpenAI offer GPT-3.5-Turbo options with higher token limits.

Which LLM is right for my organisation?

With Copilot, selecting the right LLM depends on factors like:

  • Your number of users
  • Number of requests your users might make per day
  • How much data you have
  • What speed you’re looking for

Consult with your IT team, research solutions favored by industry experts, or read comparative analyses of your options to determine the most suitable large language model for your needs. When choosing a third-party vendor, follow best practices and ensure that all of your security concerns have been addressed before you start using these technologies. Both Open AI and Azure Open AI have robust data security protections; you can review Open AI’s data usage for Consumer Services and data, privacy, and security for Azure OpenAI Service.

“[Think about] which one will be most suitable for the tasks you’re undertaking with Copilot,” said Carter. “No one passes a driving test and buys a Ferrari. The whole point of Copilot Starter is that it enables you to dip your toe in and see if your data is even in the right place to start using generative AI.”

Bullhorn’s AI solution, Copilot, is now available https://www.bullhorn.com/au/customer-blog/bullhorns-ai-solution-copilot-is-now-available/ Thu, 14 Mar 2024 14:00:04 +0000 https://www.bullhorn.com/au/?post_type=customer_blog&p=77407

At Engage Boston 2023, we introduced the concept of leveraging the power of artificial intelligence (AI) throughout the recruitment process for things like drafting messages and pitching candidates. In the following months, we worked with a small group of early adopters to continue developing our suite of AI capabilities, Bullhorn Copilot, to ensure it was purpose-built for recruitment.

And today, we’re thrilled to announce the official launch of Copilot Starter, our first set of generative AI capabilities embedded directly in the Bullhorn ATS/CRM.

This is just the beginning. We’re developing Copilot across three core categories of AI – Generative, Source and match, and Directive:

  • Generative AI will help recruiters write content and messages more efficiently and effectively.
  • Source and match AI will help recruiters and sales teams find the best candidates and successfully match them to the right jobs.
  • Directive AI will help recruitment professionals identify the most appropriate next step in their work, informed by past successful outcomes.

Our goal is to provide the most complete AI solution within the recruitment industry and put AI in the hands of recruiters exactly where and when they need it.

Our latest GRID Industry Trends survey revealed that 55% of agencies began experimenting with AI in 2023 and those agencies experimenting with AI were 31% more likely to see revenue gains than agencies that have not begun experimenting with AI. There’s truly never been a better time to leverage the power of AI, and we’re excited to bring that power right into our ATS.

Wondering what this means for you as a Bullhorn customer? Read on for a breakdown of this new functionality, how to get started, and our future plans for AI.

What is Copilot Starter?

Bullhorn Copilot will span the entire Bullhorn platform, with AI-driven capabilities embedded directly into recruiters’ workflows.

Copilot Starter, the first set of these new capabilities, embeds generative AI functionality directly into the Bullhorn ATS. It allows recruiters to draft candidate communications more efficiently by using information they have already entered into the system instead of starting from scratch or building their own AI prompts in an external application.

Copilot Starter uses generative AI to help recruiters with the following tasks:

  • Creating pre-screening questions
  • Drafting rejection messages
  • Pitching a candidate for a job
  • Updating a candidate’s resume
  • Summarising a candidate’s profile
  • Creating a client pitch
  • Improving a message

Copilot will support integrations with multiple AI providers, allowing recruitment agencies to evaluate and choose the LLM provider that best suits their business needs.

Bullhorn Copilot will unlock new levels of quality and productivity, allowing junior recruiters to operate at the level of seasoned professionals and enabling experienced recruiters to work faster and with greater accuracy.

How can I get Copilot Starter?

Copilot Starter is available to Bullhorn customers who have Bullhorn Enterprise Edition ATS/CRM (or a bundle that includes our Enterprise Edition ATS/CRM).

To get started, please contact your Account Manager or complete this form.

If you are on Bullhorn Corporate Edition or use a different Bullhorn product, please contact your Account Manager regarding your eligibility.

What else do I need to do to be successful with Copilot Starter?

Recruitment agencies that wish to use Copilot will need to select a large language model (LLM) to power Copilot. Copilot supports either Azure GPT or Open AI, so agencies will need to choose which option works best for their team.

And before you launch Copilot Starter in your organisation, we encourage you to take stock of your data quality. Since Copilot Starter generates outputs based on data in the ATS/CRM, the relevance of that output will be impacted by the quality of the data on the record. This is a great opportunity to leverage Automation if you’re not already doing so.
